APPROVED MINUTES OF THE BOARD OF DIRECTORS
WEST MICHIGAN COOPERATIVE
September 10, 2008
6:30 pm

1. Roll Call
Board Members Present:Gerard Adams, Kolene Allen, Tom Cary, Danielle Cenci, Nathan Creswick, Paul DeLeeuw, Elizabeth Listello, Georgia Monroe, and Tara Simmons
Others Present: Lisa Nelson, Tim Pierce, and Stephanie Pierce


2. Reports from Committees


Marketing


Wealthy Theatre Event – Elizabeth Listello reported that the Wealthy Theatre Event took place a week later than scheduled because of a power outage. Lisa Nelson said that only 8 people showed up, as a result of the reschedule. Despite this, the information and movie were very good and an interesting discussion followed.


Farm Tours – Three farm tours were scheduled, which Christina Radisauskus set up. The first one was at Grassfields and about 20 people attended. There are 2 more coming up (Wells and Mud Lake), and Tara reported that attendance is expected to be high, as RSVPs keep coming in.


Member Survey – Paul passed out a report of the Member survey, which 66 people took.


Membership


Tara reported that volunteer incentives have been put on the back burner, since going to the new Pickup system. Volunteer demand has gone down, so this is no longer an issue. A discussion followed regarding Producers who ask for a volunteer to hand out their goods while they are not present. The board discussed setting a fee up for this.


Tom Cary moved that any Producer who sells over $500 worth of goods, will be charged $20 to have a volunteer hand out their goods for them, and that those producers will have to label their products for each member, just as they were required to do with the old system. Jerry second. Motion carried.


Tara passed out a draft for the Welcome email. The email will be automatically sent out when a new member signs up. Paul will get it added.


Tara reported that the committee is still working on their handbook. At the next Pickup, the committee is going to take pictures of each Producer and ask then to fill out more info for their About Us page, which can go in the handbook.


A member potluck is scheduled for Oct. 11. Tara will send an email to members. Georgia offered to pay $40 for the Island shelter at Riverside Park. It is scheduled for October 11 1–3 pm.


A volunteer party is scheduled being planned for November and will be held at Media Rare. The Co-op will get a keg of beer and food is being donated by farmers and a few people have offered to make food.


Vision


Tom Cary had nothing to report.


Product


Lisa Nelson reported that we are still missing licenses. We still need Little Rooster, Heritage Acres, Crane Dance, Dogwood, and Grassfields. Jerry thanked Nathan for writing a letter and an exhaustive guide for Kenton Martin of Heritage Acres on guidelines and licensing issues to help him get his farm up to our standards. We are hoping that Heritage will comply so that he can continue to be a member of the Co-op.


Danielle will be sending out an email to all the Producers who haven't turned in their licenses and ask them to get them in ASAP. She mail a letter to Heritage Acres since they don't use email. We will require them by the beginning of the next cycle or they can't sell.


Motion by Georgie to require all Co-op members to have an MDA Retail License, Warehouse Permit, or something similiar. Motion seconded by Danielle. Motion carried.


Web


Paul DeLeeuw reported that he met with members and formed the Web Committee. See Inaugural Meeting Minutes


3. Old Business


Jerry is having a meeting to work out our tax status and fill out forms.


4. New Business


New system review – Everyone agreed that the new system was a huge success. A few small problems were noted by Jerry. Those were mostly checkout issues and training issues that should correct themselves as everyone gets used to things.


The biggest suggestion from members was to have bigger signs at each station. Jerry will have these for next month.


5. Public Comments


Tim and Stephanie Pierce


Tim and Stephanie wanted to know if they could have 2 emails activated on the Co-op site. Paul said he can do this very easily and advised him to set up both accounts under Update Contact Info (after you are signed in).


Tim said that him and his wife wished that producers were more consistent in their About Us pages and added more info – they want to see more of a consistent check list format of the info from each producer. The membership committee has had the same thoughts and are in the process of discussing this and will gather the info from the producers for our member handbook that they are working on. Paul also said that we are collecting more info than we actually display, and he would work on making that information available. Danielle added that the application needed to be updated and that that would help us gather more info on each Producer. Specifically she asked is their committee could create two applications – one for food producers and one for non-food producers. They will work on it. Stephanie stated that she wanted more information on the practices that went into how their products are made. There may be a way to streamline their info so that that is more clear. The Web Committee will work on organizing it better.
